/This tab is only relevant (and visible) for requests in which your organization is responsible for either annotation production and/or reviewing the produced annotations.

In the tab Team, you can determine which users should work on the request and monitor and manage them.

The Team Members' table

This means there can be team members you can't see in the table - for example, when your organization is responsible for review but not production.

Team member information

For each team member, you can see information about their last task activity, tasks, responsibility, and task allocation type. In this section, we will describe the first two and the additional options available in the menu next to each team member.

The responsibility and the task allocation type are described in detail in the next section.

Last task activity

The team member's most recent activity in one of the request's tasks.

Tasks

The number of tasks the team member has been assigned within the request. The number is separated between the task statuses to do and ongoing.

If the user hasn't been assigned tasks manually, the to-do column will often be 0. This is because the automatic allocation assigns the task first when the user starts it, meaning it becomes ongoing directly.

Team member options

You find the following three options in the menu next to each team member.

  • View assigned tasks Opens the request's task table with a predefined filter, showing that team member's assigned tasks.
  • Open team member details It opens the team member on the page Team Member details. There, you can see all the requests in which they have assigned tasks and in which request they worked the most recently.
  • Manage idling
    This option lets you put users in Idle mode, which is a global state that will only allow the user to perform training tasks.
  • Remove from team It lets you remove the team member from the team. You can read more about that a couple of sections down.

Team member responsibility and task allocation type

Two settings determine how a team member gets assigned tasks and what types of tasks they will be assigned - the responsibility and the task allocation type.

Task allocation type

Determines how the team member is assigned tasks within the request, automatically or manually.

Automatic allocation πŸ€–

Ensures that the team member will automatically get access to tasks of specific types when automatic task allocation has been activated for the request. The team member will be able to work on the tasks as long as there are tasks available of the type/types their responsibility allows them to work on.

Automatically allocated tasks are assigned when the team member clicks "Start a task" on the page Introductionο»Ώ.

For tasks to be distributed automatically to the team members, automatic task allocation needs to be activated for the request. You can read more about how that is done in Guide: Automatic task allocationο»Ώ.

Manual allocation πŸ˜€

The team member needs to be manually assigned tasks, and won't get any tasks automatically. A team member with this task allocation type can work on any type of task you assign them, regardless of their given responsibility.

Responsibility

The responsibility determines which type of task/tasks the team member will be assigned during automatic task allocation. When manual task allocation is activated for a team member, you can assign them any type of task regardless of their responsibility.

Your organization's request responsibility determines which responsibilities we deem relevant to let you select from:

  • Producer + Owner: All responsibilities.
  • Owner: Only the review responsibility.

AnnotateπŸ–‹οΈ The team member will be able to work on available annotation tasks and if specified in the request workflow settings, correction tasks during automatic task allocation.

Assure QualityπŸ–οΈ The team member can work on available Quality Assurance tasks during automatic task allocation. Depending on request workflow settings, the team member can also work on correction tasks when available.

Review πŸ‘πŸ‘Ž The team member can work on available Review tasks during automatic task allocation.

If you select the option None, you can only manually assign the team member tasks, as a responsibility is required for automatic task allocation.

Add new team members to the request

Which users can be part of the team?

You can add users from your organization and organizations your organization has workforce access to.

Adding team members

You add team members by clicking the "Add team members" button. You find the button at the top right corner of the team members table.

The button opens a dialog in which you select which users to add, which responsibility, and which task allocation type they should have.

Selecting users can be done by searching and selecting users in the dropdown menu or by pasting emails for the users you want to add to the team. When pasting multiple emails, they should be comma-separated.

If you add a team member with the task allocation type Automatic they will have access to tasks immediately after being added to the team (if tasks are available). If they have Manual allocation - you will have to assign them to tasks manually before they can start working.

Changing responsibility or task allocation type of a team member

Changing responsibility

A team member's responsibility can be changed by clicking on their responsibility in the team members table and then selecting another option in the menu.

When changing responsibility all new tasks assigned to the team member will be determined based on the new responsibility. Any not started tasks (in the To Do state) will be expired.

Changing task allocation type

The task allocation type can be changed by interacting with the buttons in the "Task allocation type"-column.

This action only affects how tasks will be assigned going forward. Any already assigned tasks will remain assigned to the user. If you want to affect what tasks remain assigned to the user, you can do that from the Tasksο»Ώ tab.

Remove a team member from the request

To remove a team member, you first find the team member you want to remove from the request and click the 3 dots next to the responsibility of the team member to reveal the option to remove.

When you remove a team member all of their assigned tasks in the request will be expired, including ongoing ones.
