User sessions
User Sessions is the second tab of Manage Team Report. Team Report gives you one row per person, this tab opens a single person and lists every working time session they recorded in the period. Itβs also where corrections happen.
Use it when you need to:
- Inspect exactly when somebody worked, on what and for how long.
- Edit an expired session.
- Correct a state.
- Mark time as billable or non-billable, one session at a time or in a bulk.
- Add a session by hand when the stopwatch was never started..
Good to know
- Editing is limited to the current calendar month. Sessions that started before the first of this month are read-only.
- Only the end time of a session can be changed. The start time is fixed.
- Ongoing sessions canβt be edited. A timer that is still running has no actions available until it stops.
- Billable and non-billable is a manual edit. Unclassified time is treated as billable.
How do I open somebody's sessions?
You will most often arrive here from the Team Report tab, by opening the context menu on somebody's row and choosing View sessions. That brings you straight here with the person already selected
- Set the Time interval and any other filters you need at the top of the page. These work exactly as they do on the Team Report tab.
- Open the User selector and choose a person. The list shows names with email addresses underneath.
- Their metrics and sessions appear below.
Nothing is shown on the page until a person is selected.
Why is somebody missing from the user list?
The list is not everyone you manage. It is everyone who reported time matching your current filters.
So if you have filtered by State, Project or Request, anybody without matching time disappears from the dropdown. If you can't find the person you are looking for, widen the interval and clear the other filters before concluding there is nothing to see.
How to read the table columns
The table is titled Reported time and opens with the most recent session first.
Column | What it shows |
|---|---|
Start time | When the session began β weekday, date, and time on a 24-hour clock. |
End time | When it ended, in the same format. A red warning icon here means the session expired. |
Edited | Yes when somebody has already corrected this session. It appears empty otherwise. |
Billable | Whether the time counts as billable. |
Request | The annotation work order the time was logged against. Hover for its details. |
State | The work phase selected on the stopwatch, such as Annotate or Review. |
Time spent | How long the session lasted. |
To spot an expired session
Look for the warning icon in the End time column. Hover it and it reads Expired time.
An expired session is one where somebody started the stopwatch and never stopped it. The timer ran on until it expired on its own (12h).
How do I fix an expired session?
- Find the session with the warning icon.
- Open the context menu at the end of its row.
- Choose Edit reported time.
- Enter the correct End time. The start time is shown but can not be changed.
- Save.
The save button stays unavailable until you have actually changed something. Once saved, the expired count for that person should now be cleared and updated to a realistic number.
How to correct the state or request
- Open the context menu on the session.
- Choose Edit state and request.
- Pick the correct one and save.
How do I change whether time is billable?
Open the sessions context menu and choose Set session as non-billable or Set session as billable. The dialog confirms how many sessions are affected before anything changes.
This is the only place billable status can be set. If you corrected billable status, Time by Project will show the new split for the projects involved.
Change several sessions at once
- Tick the checkboxes on the sessions you want.
- An action bar appears at the bottom of the screen, showing how many are selected.
- Choose Edit state and request, Billable, or Non-billable.
How do I add a session by hand?
This is for the case where the stopwatch was never started at all. It requires you to have the right permission or access. Ask a contact person in Kognic to provide you with the right access.
